Attendance

This page covers the three ways attendance gets into Firecrest, and how to review anything that looks off.

How attendance is recorded

1. Member self-scan

The standard path:

  1. Officer displays the session QR code on a phone, tablet, or projector.
  2. Member opens their phone camera, points at the QR.
  3. The link opens the Firecrest Record Attendance page.
  4. If the member is already logged in, their name is shown as static text; no PIN needed. If they are not logged in, they pick their name from a dropdown and enter their PIN.
  5. They can optionally leave anonymous feedback for the session.
  6. They tap Record My Attendance.

The page shows a green tick on success or a red cross with a reason on failure.

2. Officer manual entry

From any session's detail page, the Add Manual Attendance card. Pick the member, add optional notes, and click Add. Use this for:

  • Members without a working phone
  • Members who forgot to scan during the session
  • Incident attendance (which has no QR)

If you tick Notify member, Firecrest sends the member an attendance confirmation email so they know it was recorded.

3. Already-logged-in scan

If a member happens to be logged into Firecrest on their phone when they scan, Firecrest skips the PIN step and just shows their name. They still confirm by clicking the button. This is the smoothest path for officers and frequent users.

Why attendance might be refused

When a member scans a session QR, Firecrest checks a few things. Possible refusals:

Reason What it means
Session has not started yet They scanned a QR too early. Wait until the session start time.
This QR code has expired Scanned more than 24 hours after the session start.
Attendance already recorded The same member already scanned in for this session.
You do not have the required qualification The session is linked to an SMP whose qualification this member doesn't hold.
Wrong department A logged-in member from a different department scanned the QR.
Invalid PIN The PIN entered doesn't match — try again.

The invalid-PIN path uses generic "Invalid name or PIN" wording so you can't probe which member exists.

Flagged attendance

Firecrest flags any self-scan that lands long after the session ended (the threshold is 1.5× the session duration past end time). Flagged records queue up on the Flagged page in the top nav, where you Approve or Reject them.

Anonymous feedback

Both the QR scan flow and the manual-entry flow include an optional feedback textarea. Members can leave a short comment about the session — for example, what went well or what was confusing.

Feedback is anonymous — it is stored against the session, never against the member. You see all feedback for a session on the session detail page's Anonymous Feedback section.
